Abstract submission

Deadline has already passed and I forgot to submit my abstract. Can it still be considered for the IWA Congress?

If the abstract submission for WDCE 2017 is already closed – the deadline is 27 May – and the review process is finished, we regret that it is not possible to consider your paper for this conference. However, your paper may be relevant to one of the several conferences the IWA organizes throughout the year. Please visit www.iwa-network.org/all-events/ for more information.

Which is the official language of the conference? Can I submit an abstract in Spanish?

The official language of the conference is English and Spanish. You can submit an abstract in English or Spanish as simultaneous translation will be available. However, the communication with the Secretariat should be in English.

How do I know the status of my paper?

Authors were notified regarding the status of their submission last August. If you submitted a paper and did not receive any communication from us, please contact the congress secretariat

Platform presentation

How much time do I have to present my paper?

As a platform presenter, you will have a time slot in the programme, which means that you will have around 9 minutes to present your work during a session . Your presentation will be grouped with other presentations, by topic.

Where can I find the template to prepare the full paper?

The full paper (Word format) should follow the IWA manuscript guidelines and template and it will be included in the online Congress Preprint Proceedings. The system will be open until 31 October. Please check the email that was sent to you.

I cannot attend the Congress. Can a colleague of mine, who is going to the Congress, present it on my behalf?

The paper must be presented by the author or co-authors. If your colleague is not the co-author of the work, it is not possible to present it on your behalf. If any of the co-authors is attending the Congress, they may present it instead of you. Changes of presenter must be communicated to the IWA secretariat through the form as soon as possible. Papers will be excluded from the Programme if presenting author changes are not communicated to the IWA secretariat.

What is the maximum number of papers that one person can present?

We only allow a maximum of 2 accepted submissions (selected for posters and/or platforms) per presenter.

I have submitted a paper that will be part of the Programme of the Congress. Do I have to pay the registration fee?

Yes, you must register and pay the registration fee. Authors need to register during Early Bird period. Papers from authors that do not register to the Congress before the end of the early bird registration deadline will not be included in the Congress Programme.

Poster presentation

What do you mean by “poster presenter”?

As a poster presenter, you will have a poster board to display your work and a 3-minute slot in the poster programme to present your work. Your poster will be grouped with other presentations, by topic.

Where can I find the template to prepare the poster?

Why is it important to submit the digital poster?

The submission of the digital poster will allow you to show your work to a wider audience through the online proceedings of the Congress. IWA will have the proceedings available for all the registered delegates before the Congress. The IWA secretariat cannot ensure that digital posters received after the deadline will be available online before the Congress.

If I send the digital poster before the Congress, do I still need to bring the hard copy of the poster with me?

Yes, poster presenters are requested to print and bring the hard copy of the poster (A0 format, vertical) to the venue. The IWA secretariat cannot print posters.

When do I need to display the poster?

Ideally all posters should be put up on the poster boards before the afternoon of the first day of the Congress. Posters will be shown for the duration of the event. If you need to leave before the end of the WDCE2017, you can take your poster with you. The IWA secretariat will not keep posters left behind after the deadline for collection on the final day of WDCE2017.

I would like to deliver an oral presentation, but my paper was selected for a poster presentation. Is there an opportunity to give an oral presentation?

We receive a high number of submissions for a limited number of oral presentations. The independent Programme Advisory Committee reviews all submissions and unfortunately we cannot include all submissions in the programme. If an oral presentation is canceled by the author, registered poster authors are invited to fulfill the available slot.

Registration

Do all co-authors need to register for the Congress ?

At least one co-author needs to register before 11 September in order to keep the abstract in the Programme.

Registration rates:  What does “LIC.” stand for, and how do I know if my country is eligible for the discounted rates?

I have submitted several papers, which ID shall I give in my registration?

If you have more than one submission please send us a full list of all the IDs (7 digit codes) to wdce2017programme@iwahq.org as soon as you register. We kindly remind you that each registered delegate can represent a maximum of 3 submissions.

Funding

Can IWA help me in covering my registration fees and other expenses to attend the Congress?

The International Water Association is a non-for-profit network; we are not able to fund the attendance of delegates to the Congress. We advise you to have a look at the World-of-Opportunities-Brochure for Young Water Professionals to see how you can look for funding.

Invitation letters/Visa

Will I receive an invitation letter to the Congress from the IWA in order to facilitate my VISA process?

We are not able to provide an invitation letter before the registration is completed, therefore we kindly ask you to proceed with payment and send us proof of payment, and we will be pleased to send you an invitation letter.

Proceedings and Publication

Is it necessary to submit a full paper if I do not intend to have the paper published in the journal?

Authors whose abstracts have been selected for a platform presentation do not need to submit a full paper. However, if they submit a full paper, then it will be included in the Preprint Proceedings. The selected abstracts from oral presenters will be sent to the IWA Water and Sanitation Journal for further review. The final decision on publication will be taken by IWA Publishing journal editors.

Can I submit a paper for publication if my paper will be presented as a poster?

What are the Preprint Proceedings of the IWA Congress?

The Preprint Proceedings are a collection of the content presented at a Congress (abstracts or full papers of oral presentations and digital versions of posters). The proceedings will be available for all registered delegates of the Congress.

Can the Preprint Proceedings of the IWA Congress be referred to as a publication?

No, the Preprint proceedings are not a publication. Platform presenters may submit their abstract through the Congress for publication. The final decision on publication will be taken by IWA Publishing journal editors.

Session submission

Which is the official language of the conference? Can I submit a session in Spanish?

The official language of the conference is English and Spanish. You can submit a session (traning session or workshop) in English or Spanish as simultaneous translation will be available. However, the communication with the Secretariat should be in English.

What is the difference between a training session and a workshop?

A technical training session enhances professional competence in a specific technical field. It should improve the ability of participants to perform professional tasks or functions in a structured and detailed manner. It should focus on scientific, technological or managerial topics, and be as interactive and experiential as possible to enhance the learning process.

A workshop is a meeting during which people engage in intensive and constructive discussion on a particular subject or issue. There should be a clear outcome from a workshop – a consensus that can be reported, a new research programme outlined, best practice agreed or a disagreement resolved. A workshop is expected to include a high degree of interaction among participating delegates.

What is the difference between submitting an abstract and a training session/workshop?

The submitted abstract will be reviewed and will either be accepted as a platform or poster presentation. This content must be presented by one of the authors, in a session with other presentations of similar topic. A session (training/workshop) is fully organised by the proponent. For more details about training session and workshop requirements, please refer to the definitions on the submission page.

My training session/workshop cannot be delivered in 90 minutes. What should I do?

Please indicate in the submission process the estimated time that the training session/workshop will require. The Programme Advisory Committee will take into consideration any requests for more time (double or triple session) and if the training session/workshop is accepted and needs any amendments, the Conference Secretary will contact you. Please note that the Programme Advisory Committee aims to provide an opportunity to as many organisers as possible, so we cannot guarantee that all requests for double and triple sessions can be met.

The content of the session that I want to submit doesn’t fit any of the topics. What should I do?

If your session doesn’t fit any of the topics indicated in the submission, please send an email to wdce2018programme@iwahq.org, with a brief description of your session and your proposed topic.

Do I need to register? How about the speakers I intend to invite to my session?

The organisers and the invited speakers need to register before the end of the early bird registration deadline to make sure that the session is included in the Programme.

What are the criteria for including a training session/workshop in the programme?

The submitted training sessions/workshops will be reviewed by the Programme Advisory Committee. We are seeking sessions that provide delegates with new ideas and inspiration to apply in their own countries, and to share and apply them to their area of work. If the session has a strong training focus, is output oriented, fosters participation of attendees and is aligned with the topical scope of the Congress, it is likely to be accepted.
